Using Templates for Repetitive Journal Entries in the General Ledger

Ledger Templates

Article Content: This article covers how Templates provide a quick and convenient way to enter repetitive journal entries, such as daily income journals, payroll details, or allocation entries. Templates are created and maintained in the General Ledger tab under Ledger.

Navigate to Ledger Templates under General Ledger.


To View or Modify existing Templates, click the Edit Icon next to the Template name.


This will show you all Account numbers and Names that have been set up for the Template.

You will be able to add accounts, delete existing accounts, and change the Template name.

New Template:


To create a Template, follow these simple procedures:

1) Template - The Template Name is a user defined name. It may be numeric, alphabetic, or alphanumeric.

2.) Allow Transactions to be Appended - Choosing this field allows temporary additions of an Account Number during Template entry in Processing. This option is strongly suggested when creating a new Template.

3) Position - The Position Number is used to define the line numbers of the Template and also allows the user to insert additional lines after the Template has been created. The default for the Sequence Number starts at 10.

4) Row Type – Select Account or Sub Total as the row type. This will add grouping and totals to templates.

5) Account Number - Enter the Account Numbers that will be used to post the General Ledger information. Once you start entering the account number, a drop down will populate, select the account

 *The account field uses what's called the autocomplete or word completion feature. It works by creating a list of possible values based on what you've typed so far. A scrollable list will appear as soon as you start typing and the list will shrink and expand as you type. You can select an account by either clicking it with your mouse or using the up/down arrow keys and pressing the tab key*

6) Description - By default, the Chart of Account Description will display. The Description may be changed. Changing the Description of the Account Number in Template Maintenance will not change the Description in the Chart of Accounts. Once you have entered all information for an account, select insert.

Once you have entered all accounts, Save and Close.
